We introduced them last year, but they’ve added new and improved features to their platform, so it’s time to reintroduce them and the options they offer to help you, as agents, become more efficient.
If you haven’t heard the buzz already, this AEP is expected to be extremely busy. Use the technology available to you to make your life easier. Get ahead of things—gather SOAs, scopes, permissions to contact, all the information you need, and set your appointments so you can use your AEP time wisely.

Thank you so much. It’s a privilege to be with all of you. Happy Thursday, August 14th. I hate to be the one to say it, but we are 61 days away from October 15th, and that makes me want to hurl. I imagine many of you feel the same way, especially Christie. It’s amazing how quickly the fourth quarter comes and goes. The end of the year just flies by.
With that time crunch approaching, we’re going to talk about a tool that will help you prepare for AEP and make the fall a much smoother time for you. I’ll give you some background on who we are, who I am, what we do, and how it works. We’ll take questions throughout and at the end, so feel free to put them in the chat or Q&A. We should have plenty of time since we have about twenty people here today.
First, I want to thank the URL team for having me. I have the privilege of working with around 200 to 250 large agencies and FMOs across the country. In my opinion, there are two kinds of FMOs: those who want to bring new technology, tools, and thoughtful processes to their agents, and those who don’t call you back. URL is very much the first kind, and it’s a big deal for us to work with them. The fact that we’re doing this webinar shows their commitment to bringing innovative tools to agents.
A little about myself and how RetireFlo began. My name is Dalton. I’m originally from Columbus, Ohio, and I went to The Ohio State University. I started working for my dad’s Medicare agency about six years ago. Our agency now serves about 25,000 beneficiaries with Medicare Supplement or Medicare Advantage plans, and we’re very proud of that. But we created a problem for ourselves: we wanted to grow with only eight sales agents. We didn’t want to hire additional payroll or build a call center. So we asked ourselves, how do we do this?
We call this problem the “Debbie Dilemma.” Debbie is in charge of retention in our office. She’s the one who has to listen to people spell their drug lists over the phone, track down signed scopes, and manage the massive increase in annual plan shopping. For 25,000 people, that’s simply not doable.
So we broke it down to the basics—what you need to know about someone in order to provide plan options. Whether they’re turning 65, retiring, or already on Medicare, you need their prescriptions, doctors, hospitals, pharmacies, and some lifestyle preferences. But those first four items are highly sensitive. Across the country, we see agents either emailing or texting this info insecurely, or mailing packets and hoping clients mail them back. It’s 2025—there has to be a better way.
That’s where RetireFlo comes in. RetireFlo provides online surveys for Medicare agents that you can send to clients and prospects before every meeting. The surveys are extremely senior-friendly. The font is large, questions appear one at a time, and it works smoothly on smartphones, tablets, computers, and even Kindles. Everything is white-labeled with your logo and headshot so it looks like your brand, not RetireFlo.
When your clients complete the nine-question Medicare survey, you get their prescriptions, doctors, hospitals, and pharmacies, all spelled correctly with exact dosages and package details. You also get permission to contact, and the ninth question is a clean, simple scope of appointment form.
Let’s say you have an appointment next Thursday. You can send your client the survey and ask them to complete it by Tuesday. You get a compliant scope and all the essential plan research information days in advance. You can walk into the meeting fully prepared, with quotes ready, instead of listening to clients sort through pill bottles or describe lotions they apply to sensitive areas. There is a better way, and this is it.
Our system is fully CMS compliant, HIPAA compliant, SOC 2 Type II compliant, and encrypted end-to-end. The data is yours and only yours. We can’t see it unless you explicitly call us and give us permission to view a submission. RetireFlo is almost two years old, serves 10,000 agents nationwide, and seniors love that it requires no username, password, or code. They simply click the link you send and complete the survey.
We also offer ACA and life/annuity surveys with similar streamlined data collection.
Agents then asked, “Can this integrate with my enrollment platform?” The answer is yes. RetireFlo integrates with your ConnectureDRX platform, creating what I call a deadly AEP weapon. It becomes three clicks to enrollment: send the RetireFlo survey, run quotes with the captured data, and enroll. We even automate follow-up reminders.
I walked through a live demo showing how simple it is to send surveys in bulk, how clients complete them, and how the data instantly populates in Connecture. Everything appears in your dashboard: medications, providers, hospitals, pharmacies—all pre-loaded into the client’s profile, ready for quoting and enrolling.
Agents also receive a PDF submission report that is CMS compliant. If a client later files a grievance claiming you never told them whether their medication was covered, you have a timestamped report showing exactly what they submitted. The scope is also timestamped, with the client’s IP address, and you can sign it yourself or assign it to a different agent if meeting responsibilities change.
The cost is simple: $59.99 per month or $599 per year, for unlimited sends and unlimited submissions. For the cost of one Medicare Advantage application, you can streamline your entire AEP. Many agencies send the survey weekly leading up to October 15th, peeling off people who’ve already completed it.
You must sign up through your Connecture account by clicking your name in the top-right corner, selecting “Account Overview,” and choosing RetireFlo. Once you upload your headshot and logo, it becomes active immediately.
Questions covered included how the life insurance survey works, how long data is stored, how agency accounts work, and how easy the system is to learn. Even a 91-year-old agent named Stanley uses it successfully and has one of the highest numbers of submissions.
Using RetireFlo sets the expectation with clients that you will take their important details—drugs, doctors, hospitals, and pharmacies—into account when reviewing plans.
