To get things started, when it comes to helping clients enroll in Medicare—especially during busy seasons like the upcoming AEP—we’re always looking for ways to make the enrollment process easier for both agents and clients. That’s where RetireFlo comes in. It benefits agents by simplifying tasks like obtaining scopes of appointment, permission-to-contact forms, and lists of prescriptions, doctors, hospitals, and pharmacies.

With that, I am excited to introduce our guest speaker, Dalton Miller, who will be diving into everything RetireFlo has to offer. I’ll turn it over to him now.Thank you, Olivia. Happy Tuesday, everyone. Hard to believe it’s already September 17th and we’re just 28 days away from the annual enrollment period. That definitely gives me a little chest pain, and I imagine many of you feel the same way.

Before I begin, I want to thank the URL team and Olivia for having me today. I work with agents, agencies, FMOs, and carriers across the country, and there are FMOs who prepare well for AEP, stay ahead of industry changes like those coming from the Inflation Reduction Act, and truly support their agents. Then there are FMOs who don’t. You are absolutely in good hands with the URL team—they are thoughtful, responsive, and genuinely invested in your success.

A little background about me: my name is Dalton, and I'm from Columbus, Ohio. I graduated from The Ohio State University—please don’t hold that against me. I started working in my dad’s Medicare agency about five years ago. We’re a small LOA shop in Dublin, Ohio, with seven or eight writing agents, and we now serve about 23,000 seniors with Medicare Advantage or supplement plans.

We created a problem for ourselves: every AEP, all our clients called with the same questions—“Joe Namath says there’s something better; what do you have?” or “Am I still in the right plan?” The call volume became overwhelming. We either needed to hire a call center or develop something new. What we developed is the platform you’ll see today. It turned out to be not only a strong retention tool, but also an excellent tool for new business.

We focused on the core information agents need to provide accurate plan recommendations: prescriptions, doctors, hospitals, pharmacies, and key lifestyle preferences. These first four items are highly sensitive, but agents across the country often collect them through insecure methods like texting or emailing, or by sending physical mail and hoping clients return it. It’s 2024—there should be a better way.

And then, of course, we all know the television commercials that show up every year with dramatic messaging and misleading claims. They focus on shiny benefits, but none of that matters if a client’s doctor isn’t in-network. We wanted to help agents stay better connected to their clients and help seniors get accurate answers quickly—so they stop calling those TV hotlines.

That’s why we created RetireFlo. It’s an online survey built directly into your Connection platform, allowing you to send a secure, senior-friendly form to clients and prospects before a meeting. It takes about eight minutes to complete, uses large font, asks one question at a time, and is incredibly easy to navigate. Seniors will only complete something if it’s easy—so we made it easy.

When a client completes the survey, you immediately receive three things. First, a clean list of that client’s prescriptions, spelled correctly every time, including dosage, quantity, frequency, and brand vs. generic. Second, permission to contact, as our survey is approved by CMS through the Health Plan Management System. Third, a completed scope of appointment.

This allows you to tell a client—let’s call her Susie Senior—“I look forward to our appointment next Thursday. Please complete this survey by Tuesday.” You receive a compliant scope, plus all her doctors, hospitals, pharmacies, and prescriptions at least two days in advance. You can do all your plan research early and arrive fully prepared, which leads to more one-visit closes.

You’re notified as soon as the survey is completed. You log into RetireFlo, download a secure PDF summary, and the data automatically populates into your Connection platform.

Two important features make RetireFlo so effective. First, clients do not need a username, password, or special code. You send the link; they click it and complete it. That alone dramatically increases completion rates. Second, RetireFlo provides compliance protection. If a grievance is ever filed—say Susie forgot to tell you she takes Eliquis—you now have a timestamped, CMS-approved document showing exactly what she told you at the time of appointment. It makes the grievance unfounded.

We launched RetireFlo just over a year ago and now serve thousands of Medicare and ACA agents across the country. The number one question we received was: “Can this sync directly into my enrollment platform?” The answer is yes. RetireFlo is now built directly into your Connection platform as an optional plug-in that automatically updates your book of business.

RetireFlo works in two main ways. In the first scenario, agent Bob has never met Susie before. She’s a prospect who called in, and Bob sends her a survey from Connection. She completes it, and Bob instantly receives a new profile with all her data and a signed scope. In the second scenario, Susie is already in Bob’s book of business. Bob sends her a fresh survey, and when she completes it, her existing profile is updated—no duplicates.

This gives you the cleanest, most current information for AEP.

Now I’ll show you a live demo of what this looks like inside the Connection platform.

[00:15:00] Using the demo profile “Susie Senior,” I select “Send Survey,” customize the message, and email it. The client receives a branded message with my logo, headshot, and instructions. When the client clicks “Complete Survey,” they see the clean, senior-friendly interface with the option to switch to Spanish.

The client enters name, email, address, phone number, pharmacies, prescriptions with dosage and frequency, doctors, specialists, hospitals, and finally the scope of appointment. The system ensures all required information is provided. The client signs electronically, submits, and immediately receives confirmation.

Seconds later, I receive notification that the survey is completed. I open Susie’s profile in Connection, where everything is now updated: her medications, doctors, hospitals, pharmacies, contact information, and the signed scope.

We cannot capture date of birth due to CMS restrictions, but if it's already in your system, we do not remove it.

The cost of RetireFlo is equal to the commission from one Medicare Advantage enrollment: $59.99 per month or $599 per year, with a $120 savings if paid annually. This is a 12-month contract.

Several questions came in, including how overwriting works, whether the survey populates a new profile, how prospects are handled, how to export data, and whether incomplete information replaces existing data.
